OUR POLICIES
These are our company policies, in place for all of our clients.
PAYMENT TERMS
From January 2025, all clients must pay upfront in full before the service dates(s) and deliverables have been completed.
Any late payments will now incur a 10% late fee. If a payment is later than 2 months a 20% fee will apply. If a payment is later than 3 months, we will get collection agencies involved.
If a service day is canceled for any reason, we retain 50% of the agreed fee, with the remaining 50% refunded. Unless the service is rescheduled in which case 100% is retained.
COMMUNICATION
Prior to booking a service, all clients are welcome to book a call with our team to go over your needs.
All current clients are able to contact us via the following methods: Email, Phone Call or via WhatsApp.
We work between 9am - 5pm, any communications received outside of these times will receive a response within our working hours.
DELIVERABLES
All files will be delivered within 3 - 10 working days, this depends on our workload and the projects scope. If deliverables are needed sooner, a rush fee of £150 is charged.
Files will be in the format requested when booking, changes to file types or aspect ratios will be charged at an additional fee.
All files will be delivered via the following methods: We-Transfer, Dropbox Or private photo gallery.
POST PRODUCTION
During the post production stage all clients are entitled to a set amount of revisions, this will be discussed at the time of booking.
Communication is key during the post production, but over communication can quickly destroy projects. We provide a change note along side the deliverables, we request that this is filled out with the necessary changes.
At the start of video projects, we will send you 3 options for music. Once you have selected music, changes to the music after delivery will cost an additional fee.
FILE STORAGE
Once complete, all files will be stored for 1 year, after this you will have the option to purchase another year of storage for a fee of £50.
You will also have the option to purchase all of the files, after the 1st year. Video files are priced at £25 per file. Photo files are priced at £15 per file.
After the 1st year files will be removed from your use.
USAGE/ OWNERSHIP
By default all clients can use photos and videos created by us, for personal use and internal company use. It is requested that our social media channels or our website is credited.
For use in advertising, marketing or monetisation, a licence fee will be put in place. This is will be outlined in our initial discussions.
George Hersant Photography Ltd owns all of the content produced by our services, this does not our editing service. All clients can purchase rights to content for an agreed fee.
SERVICE DAY(S)
In the event of a client being late to a booked location, we will still charge our full rate.
For outdoor services, if the weather is poor or dangerous, we will reschedule the day to a later date.
In the event of a pandemic or “Act of God”, no refund is available. However, we reschedule the service for a later date, after everything has settled down.
CLIENT PRIVACY
We deal with many different clients, across many different sectors and understand that some projects can’t be shared online. As a result NDAs and other procedures are put in place at the time of booking.
Personal details, such as payment details, names, addresses and files are all securely stored on our servers as well as offline.
If we share a project, we will always check beforehand with you that the timing is right (this is important for our advertising clients).
